Due to Covid-19 we are having, like many organisations, to hold our AGM "virtually" using Zoom webinar software. This is a new venture for us. We have used Zoom for the most recent Delegates meeting and hope that we have gained enough knowledge to hold a successful AGM via Zoom.

I would like to encourage you to join us for the AGM. We all appreciate that AGMs are not always riveting affairs, but it is essential that your Executive accounts to you, the BCLGA membership, for our actions on your behalf and the AGM is a major part of this accountability. Last year the meeting took an hour including the trophy presentations - we anticipate that it will be of shorter duration this year without the physical collection of trophies!

You will find the Notice of the meeting, Agenda, Voting Paper, last year's AGM draft minutes and other AGM papers as follows:

-> Association Business tab
-> AGM page
-> Scroll down to the AGM in the table with October 28th 2020 date and click on the documents in the right hand column to open them.

You will have the opportunity to vote in advance on the following aspects of the Agenda:

-> to approve the minutes of the 2019 AGM
-> to approve the Accounts for year ended 31st July 2020
-> to approve the reappointment of the auditor
-> to approve an amended Constitution, which has already been shared with the clubs via the Delegates meeting - a synopsis of the changes are on the website
-> to elect Officers for the Executive

Voting can be done by downloading the Voting Paper, completing it and either emailing it or posting it to the Honorary Secretary; address details on the Voting Paper. Voting is open from Wednesday 14th October to midnight Wednesday 21st October. Voting will not be available during the meeting. However the results of the voting will be announced.

You need to register to attend the AGM in advance as well. A link to the AGM registration will be posted on the web site on Thursday 22nd October and we will also send another email with the link to all opt-ins at the same time. Please complete the registration in advance, no later than 10am on 28th October. Once your registration has been received, a link to the AGM meeting will be sent to you by email.

To attend the AGM, you will need a PC, iPad or phone with a web browser, internet access and speakers. You don’t need a camera as you will not be seen. You are very welcome to ‘share’ your PC, iPad or phone with other BCLGA members provided you are able to do this in a Covid Safe manner. However if more than one of you will be attending the AGM from one device, you do need to let Maura know about this at the time of registration.

Please note that the AGM will be recorded to assist with the preparation of minutes, but the recording is deleted once the minutes have been completed.
